7 Ways to Improve Frontline Employee Communication for Deskless Teams

% of readers think this story is Fact. Add your two cents.

Frontline employee communication is how an organization shares information with, and hears back from, people who don’t work at a desk: machine operators, warehouse teams, drivers, nurses and store associates. BCG estimates that deskless workers make up 70% to 80% of the global workforce, yet most internal communication is still built for people with a laptop and a corporate inbox.

The gap shows. In Microsoft’s Work Trend Index survey of 9,600 frontline workers, 63% said messages from leadership don’t make it to them. Here are seven ways to close that gap, from manager briefings to digital signage in shared spaces.

1. Map where frontline employees spend their shift

The best channel is the one people pass during a normal working day. Many frontline workers don’t have a company email address, and those who do rarely check it on a production line or shop floor. Walk through a typical shift for each role and note the shared touchpoints: entrances, time clocks, break rooms, canteens and loading bays. That’s where a message is most likely to be seen.

2. Give important updates one reliable home

Frontline teams need a single, predictable place to find time-sensitive news. In a YouGov survey commissioned by SafetyCulture, 28% of American frontline workers said their workplace had no go-to channel for important updates. When news is scattered across group chats, printed notices and word of mouth, people miss things and rumors fill the gap. Choose one primary channel for safety alerts and operational changes, and make sure every employee knows where it is.

3. Use digital signage to reach people in shared spaces

Digital signage gives frontline teams a channel that needs no login, app download or company device. Screens in break rooms, entrances, canteens and production areas can show safety alerts, shift changes, performance figures and recognition in a format people take in within seconds. Because content is managed centrally, updates can be scheduled, targeted to a site or shift, or pushed out instantly when something urgent happens. Workplace digital signage for frontline workers can also pull content from an existing intranet or employee app, so one update reaches desk-based and deskless employees at the same time.

4. Keep messages short, visual and relevant to the role

Frontline workers have little time to read, so every message needs to earn its place. The same SafetyCulture research found that 42% of frontline workers say HQ communications are often irrelevant, 43% say they’re often not engaging and 32% don’t have time to read or act on them. Lead with what is changing and what employees need to do. Use plain language and visuals, and target content by site, shift or role instead of sending everything to everyone. On digital signage, aim for a message someone can read in a few seconds from across the room.

5. Equip frontline managers to share news first

Direct managers are the most trusted source of information for many frontline employees. Edelman research found frontline workers are more likely to trust what they hear from their manager than from executives or HR. Managers also shape engagement: Gallup estimates they account for at least 70% of the variance in team engagement scores. Give supervisors briefing notes, huddle talking points and early notice of changes so they aren’t learning news at the same time as their teams.

6. Make frontline employee communication two-way

Communication that only flows downward misses what frontline employees know. People on the floor often spot safety risks, process problems and customer issues before anyone at head office. Give them simple ways to respond, such as QR codes on digital signage that link to quick polls, suggestion channels and regular leadership site visits. Then show what changed as a result. When employees see their input acted on, they keep sharing it.

7. Measure what lands, not just what’s sent

Sending a message doesn’t mean it was read or understood. In Axonify’s Deskless Report, 65% of corporate respondents rated communication at their organization as effective, but only 35% of frontline workers agreed. Use pulse surveys, quick questions during shift huddles, QR code scans and channel analytics to check whether employees know about key updates. Track awareness and action, not message volume.

Why frontline communication affects retention

Communication is closely tied to whether deskless employees stay. BCG found that eight of the top ten reasons deskless workers quit are emotional, including feeling respected, feeling valued and having a good relationship with their manager. Relevant, consistent communication addresses all three.

Pick one site, apply two of these strategies, such as manager briefing packs and digital signage in the break room, and measure awareness before and after. The results will show you where to invest next for your frontline employee communication.
